The integration of Eduka's CRM module with
Mailchimp's email marketing tool enables you to synchronize your contacts referenced in Eduka's CRM module with your Mailchimp contact book. This means you can easily obtain up-to-date contact lists, and target them for mailing within Mailchimp.
This targeted synchronization will have the effect of creating or updating your contacts in Mailchimp, populating certain useful data from the Customer Relations CRM module, as well as associating a Tag which will then facilitate the initialization of your mailing in Mailchimp.
Note : use of this integration requires activation of the functionality by Eduka Support (additional cost), and a subscription to the Mailchimp solution.
Setting up targeted contact synchronization with Mailchimp
You can set up multiple occurrences of contact synchronization with Mailchimp. In this way, you can synchronize different targeted selections by population type, then associate them with a Tag that will enable you to easily find this target in your Mailchimp contact book to initiate your mailing.
To add a new
Mailchimp synchronization occurrence, from the Customer Relationship module's Configuration menu, click on "Add", then enter the related parameters:
- Integration name: name used internally in Eduka to identify the synchronization occurrence.
- API key : copy here the Mailchimp API token (to be retrieved from your Mailchimp account https://us9.admin.mailchimp.com/account/api/ - see below)
- Custom CRM lists : click to select the Customer Relations list (previously created in the Lists and Searches module), to be used to target your contact population for synchronization with Mailchimp
- Audience list : select the Mailchimp audience for which you wish to include contacts (after entering the API key, click on Refresh to view your existing audiences)
- Tags : associate a tag with your contacts resulting from this synchronization in Mailchimp. You can create a new tag or use an existing Mailchimp tag
The Mailchimp API key is retrieved from your Mailchimp administration console.
To initialize it, go to your Mailchimp account, then access the page
https://us9.admin.mailchimp.com/account/api/.
From this page, you can initialize a new API key, which you simply copy/paste into your Eduka to Mailchimp synchronization settings.
Creating a CRM list to target contacts
Each synchronization occurrence set up in Eduka must be associated with a list related to the Customer Relationship CRM module. By linking to a previously created list, you can use the various criteria available in Eduka to target the desired population.
You can reference two types of list, created in the Lists and Searches module:
- Prospects and leads: allows you to extract data relating to your leads and prospects created in the Customer Relations module (also possible to include "customers")
- Campaign entries : extracts detailed campaign data
In the example below, the Prospects and Leads list is created and saved in the Customer Relations CRM module to target the leads, prospects and customers associated with the Primary Open House campaign.
The important thing here is to define the associated targeting criteria, which will be used to target the population to be synchronized with Mailchimp. The Data to be displayed tab can be ignored, as it will not be used for synchronization. However, it is necessary to Save this list from the Validation tab.
Once your list has been created and saved, it can be referenced for synchronization with Mailchimp:

Synchronizing contacts from Eduka to Mailchimp enables you to synchronize several types of information.
Basic data
Synchronization will feed basic data relating to a contact:
- Last name, first name: Eduka property code last_name and first_name
- E-mail address: Eduka property code email
- Birthday : taken from the birthdate property in Eduka
- Address : standard address properties in Eduka (address_street, address_zipcode, address_city, address_country)
- Telephone : Eduka property code mobilephonenumber
Additional data
Additional data are also extracted from Eduka to feed Mailchimp: the CRM type associated with a contact (Lead, Prospect, Customer, Archived), as well as the categories associated with a contact in Eduka.
To do this, it is necessary to create additional fields ("audience fields") in Mailchimp :
For each data item, the following format must be followed:
- Categories : Text field, to be associated with a Merge tag = EDUKACATEG
- Type : Text field, to be associated with a merge tag = EDUKATYPE
- Stage (status) - function under development) : Text field, to be associated with a Merge tag = EDUKASTAGE
Tags
To target contacts synchronized from an Eduka > Mailchimp synchronization occurrence, you need to associate a Tag.
This can be created directly from Eduka or previously created in Mailchimp, to associate with the synchronization settings:
Synchronization launch and update rules in Mailchimp
Synchronization is launched from the Customer Relations CRM module.
Once the process has been completed, you will be presented with a report containing any errors that may have occurred:
Synchronized data must comply with Mailchimp rules:
- E-mail address: cannot be a disposable address.
- Address: must contain 4 mandatory fields (address, zip code, city and country).
- The zip code field must contain exactly 5 digits.
- The country field expects 2 letters identifying the country according to the ISO-2 standard (to be entered in the "description" field of the reference table for the Eduka property)
→ A badly formed address will not be included in the synchronization (the contact will be imported without an address)
A contact archived in Mailchimp will remain archived on synchronization. (It will then be displayed as "already archived")
A contact cannot have been previously deleted from the Mailchimp account (it will not be imported and displayed as "permanently deleted")
Please note: synchronization adds contacts to Mailchimp, but does not remove them. If a person no longer meets the criteria of the source list in Eduka, their information will no longer be updated in Mailchimp, but they will remain present in the audience list.
