The Eduka Suite Documents module gives you the ability to generate documents automatically from templates defined in Eduka Suite.
Generate a document individually or in a grouped manner
Below are the steps to follow in order to generate documents for a selection of students or leaders.
Step 1: Generation settings
To generate documents for one or more students, go to the Generate part of the Documents module, then :
Select document template
Place in Next Container: This setting allows you to choose how the PDF file will be saved. By default, the option "None (download only") will allow you to download the generated document(s) to your computer. It is also possible to select a container, which will allow you to save the PDF documents on your Eduka platform, thus appearing on the student or leader files. (see next paragraph).
Indicate the name of the generated file (by default, the document will be named in the form Person Internal Code - Person Name)
Add students/leaders for whom to generate the documents. This selection takes into account the perimeter defined in your model.
For each person selected, you have the possibility to get an ape'rcu of the document
Click on Generate Documents to go to the next step
Step 2: Registration
The posting step consists of the actual creation of the files in the form of a batch, for which you can track the progress.
Step 3: Dissemination
The final step allows you to choose from the following broadcast modes:
Generate a notification If you do not have a batch file, a notification will appear on the Parents portal, and the document will be visible in the Pupils and Parents Information module
Send by e-mail : you will be redirected to the Email module. You will be presented with the window for writing a new email, automatically taking as recipients the relevant managers, attaching the corresponding attachment for each one. The generated document can be checked individually in the email preview.
Download the pack downloads a compressed (ZIP) file containing all the generated files.
Print all : launch the printing of the generated documents
Open in the history : retrieve documents from the history of generated files
Generate a document and put it online on the Eduka portal
The Documents module of Eduka Suite gives you the possibility to save documents generated on the Eduka portal. In particular, this option gives parents the possibility to make documents available directly via their portal.
Define the "container" document
For this, it is necessary to define among your document repository a "container", in which will be saved the document generated for each selected person.
Adding a new document to the Documents Module Repository
Activate the document so that it can be used as a container
Select the type of document: is the document about the student, the leader, or the family?
Generate: this option must be enabled in order to use this document as a container for a generated document. This will also allow you to generate (depending on the permissions granted) a document from the student record (Documents tab).
Permissions: select who will have access to the document. This is where you will be able to define whether parents will have access to the document from their Portal. This is also where you will be able to define who has the right (Read/Write) to generate a document.
Limit the perimeter: allows you to define the school branches to which the document applies
Generating the document in the container
After defining your "container", it is then selectable at the time of document generation.
At the Student record level (depending on permissions), the document can be generated directly without going through the Documents module.
