Trips and outings can be fully managed in Eduka from

• project validation request (see online help :Validation request for the organization of a school trip)
• request for student participation in the trip (see online help :Requesting parental consent for a school trip)
• invoicing of expenses to payers

Property creation

Prior to setting up the finance parameters, a property must be created to indicate whether the student will participate in the trip. This property will be added as a condition to the fee and may be invoiced by batch.
In Module CONFIGURATION / Properties / STUDENT / OTHER

• Use the ADD button

• Create your own property

For example, to condition the cost of a trip to Paris in 2023

The property must be configured as follows:

- wording: clear, precise and understandable
- Data type: Reference table




- Reference table / Modify

Use "Add " twice.
Once to create the YES value and once to create the NO value. ( Reproducing the settings below)
SAVE

• Return to the created property to finish setting and assign default values.

Expense repository settings

Setting up an expense for a school trip/outing or an educational project is a classic recurring expense setup in the finance module.
If your school offers a high volume of trips/outings, we recommend the following setup:

- Create several expenses with generic headings in your expense repository.

Customize expense label

In the Fee list menu, customize ONLY the headings in the school year fee list
This procedure will simplify management when copying the list of charges from one year to the next.

Condition the fee with this property

In the Finance module / List of charges / Condition

• Click on Add
• Search for the previously created property
• Save condition settings
• Save charge settings

Save at charge level

Add property to student finance form

Finance/Configuration/Form module

• On the "STUDENT" tab, use the + button (in green) to search for the property you've created.
• We advise you to search by code (visible here).
• Select the property to insert it in the form

Update the property via the finance sheet

From the student finance file / fees and deductions:

• Check YES in the student form (it is also possible to update in bulk)
• Save then refresh the page
• The fee appears and becomes eligible for billing

Billing expenses

Select the different fees required with the travel fee.
There's no need to use the inclusion function: only students who meet the condition participation voyage à Paris = yes will be invoiced.
