For some processes you may need to send the same email to parents, businesses, or staff often. To avoid having to rewrite your messages several times, Eduka Suite allows you to create email templates that can be reused.these templates can be reused either from the Email module or from the pop-up email sending window that appears on several screens of the application (student file, registration file, etc.).)
Preparing a model
To create a new e-mail template, open the E-mail module, and in the left menu click on the menu item "E-mail templates". Then click on the button at the top of the page to create a first template:
Write your message as if you were about to send it: insert text, images, mailing fields, attachments, do your layout. Please note that the signature must not appear in the template: it is in fact inserted at the time of sending the e-mail. Finally, save your template by clicking on the Save button at the bottom of the page:
To send an e-mail from this template, you have three possibilities:
- From the "Email templates" screen, in the list of templates, click on the "Use this template" button on the line corresponding to the template you wish to use
- From the "New e-mail" screen, click on the "Select an e-mail template" button to select a template (paragraph below)
- From the e-mail pop-up, choose a template from the drop-down list (see paragraph below)
Sending a new e-mail from a template
When you are on the "New e-mail" screen, you can click on the area circled in red on the screenshot below to bring up the template selection menu:
Click on a template in the list to load the content of the template, attachments, images and all the settings made at the template level:
You can then select a signature, recipients, and send (for more information on how to set up your sending, please see the other articles in this category).
Using templates from the e-mail popup
From several screens of the application, a "pop-up" is sometimes available allowing you to quickly send an e-mail without going through the full e-mail sending screen as above. For example, from a student's file, it is possible to easily send an e-mail to the responsible persons by clicking on the icon shown below:
This brings up the "e-mail pop-up" from which a drop-down list is offered and allows you to send an e-mail from a template.Select the desired template from the drop-down list, then simply click on "Send" and the e-mail will be sent:
Share your model with other users
When you set up your e-mail templates, you can make these templates available to other users of the system. From the template setup screen, click on the "Share with..." button. "and click on the names of the users you wish to share the model with:
These users will be able to send emails from your template, but will not be able to edit them.
